Scanning

Neurosoft specialises in the conversion of hard-copy documents into electronic format so they can be indexed and stored ready for electronic retrieval by either VIEWit (Neurosoft’s web based document publishing application), or a proprietary document retrieval system. Using VIEWit, these electronic documents are available across the enterprise via an Intranet, eliminating the need to wait for documents to be retrieved from a filing system or off-site storage. Add to this the capability of text searching, and you have a very powerful tool for finding the right document quickly.

Planning

Neurosoft believes planning is crucial to the success of any project so the first exercise undertaken is an assessment of the task in hand. This involves looking at a cross section of the documents to be scanned to determine how many different types there are, and to identify specific requirements, such as the removal of staples or the need to unbind and re-bind documents.

Following this exercise, and in consultation with the customer, we can determine the indexes that are required for each document type, for example deal number and trade date, and most importantly how our team will identify these from the content of the document. We also document the method by which documents are delivered to the scanning teams (typically the customer is responsible for this) and the scanning process required for each document type.

In this way we can tailor the service to a specific profile, and plan the project accordingly.

The Take-on Process

Neurosoft will take responsibility for providing the scanning teams for each project, and provide the day-to-day management of these teams. In doing so we can monitor progress and refine the processes where necessary to ensure optimum efficiency.

A typical process involves:

· Taking delivery of a batch of documents.

· Preparation of each document to be scanned. This could involve the removal of staples from the document, or it’s unbinding, as well as determining if the document is single or double sided.

· Scanning the document, having ensured that the scanner settings are appropriate for the document.

· Returning the document in an agreed state, and when a batch is complete, returning the batch to the customer.

· Indexing the document, and storing it in the electronic archive.
